QR-Coded Compliance Logs: Practical or Gimmick?

Stick-on QR codes now turn up on hoods, fans and access hatches across UK commercial kitchens, promising instant proof of a clean. We look at whether they earn their place or simply decorate the ductwork.

Kitchen extract compliance

A small square sticker on the canopy, one scan with a phone, and the whole cleaning history appears - it is a tidy promise, and more kitchen extract contractors are making it.

The idea is simple enough. A QR code is fixed to the extract system, or printed on the certificate, and scanning it pulls up the record of your last clean: the date, the technician, the photographs, the grease readings and the scope of work. Instead of hunting through email attachments or a folder in a back office that no one has opened since the last insurance renewal, you point a camera and the evidence is there.

So is it a genuinely useful tool for the person who carries the legal responsibility, or a bit of digital polish that looks good in a sales pitch and adds little underneath? The honest answer depends entirely on what sits behind the code. A QR link is only ever a shortcut to a record - it is never the record itself, and it is certainly not the clean. Get clear on that distinction and you can judge quickly whether a given system is worth having.

What a scan should actually reveal

Before you can decide whether a QR log is practical, you need to know what a proper kitchen extract record contains in the first place. Cleaning of commercial kitchen extract systems in the UK is measured against TR19® Grease, the specification published by the Building Engineering Services Association. It sets out how a system should be cleaned, how the result is verified, and how the evidence is presented.

A compliant clean is not a judgement call made by eye. The technician takes deposit thickness readings and a cleaned surface should be left with no more than 50µm of grease remaining - roughly half the thickness of a human hair. The specification also frames the risk in terms of build-up between visits: grease should not exceed a mean average of around 200µm across the system, and any area reaching 500µm or more needs immediate attention. Those figures are the reason a real record carries measurements and before-and-after photographs rather than a simple tick.

So when you scan a code, the page it opens should let you see, at a minimum:

  • the date of the clean and the name of the technician or firm who carried it out;
  • the scope - which sections of ductwork, hoods, filters and fans were done, and whether it was a full clean or a partial one;
  • photographic evidence from before and after, ideally with the access points recorded;
  • grease thickness readings taken after the work, showing the system was left within the TR19 threshold;
  • a certificate you can download and keep, not just a screen you can look at.

That last point matters. Under the Regulatory Reform (Fire Safety) Order 2005, the responsible person for a premises has to manage fire risk and keep evidence of the measures taken - and grease-laden extract ductwork is a well-understood fire path. A QR code that opens a record you cannot save, on a portal that might not exist in three years, is worse than a PDF in a folder. A QR code that opens a downloadable, dated certificate on top of a recognised scheme is genuinely useful.

Frequency is a starting point rather than a rule - a competent person should set your interval from a cleanliness risk assessment that accounts for how hard the kitchen works, the style of cooking and seasonal swings. A good digital log helps here too, because it can flag the next due date the moment the current clean is signed off.

Where it earns its keep, and where it does not

Used well, a QR-coded log removes friction at exactly the moments compliance usually falls apart. When an insurer asks for proof at renewal, when an environmental health officer visits, or when a new manager takes over a site and inherits a system they know nothing about, the difference between a five-second scan and a two-day search for a lost attachment is real. On multi-site estates it is sharper still: each hood or riser can carry its own code, so the record is tied to the physical asset rather than to whoever happened to file the paperwork.

There is also a quiet accountability benefit. A code fixed to the plant is a standing reminder that the asset has a schedule, and it makes gaps obvious - if the last scan shows a date eighteen months ago on a kitchen that should be cleaned twice a year, no one can pretend the interval was met. That transparency is particularly helpful where responsibility is split between parties, for instance a leased unit where it is not always obvious who arranges and pays for extract cleaning; sorting out those landlord and tenant duties under the lease is far easier when the record is visible to both sides rather than buried on one party's laptop.

The gimmick risk is equally real, and worth naming plainly. A QR code proves nothing about the quality of the clean beneath it. A sticker can be printed by anyone; a link can point at a thin page with a single stock photo and no measurements; a slick app can dress up a partial wipe-down as full compliance. The code is a delivery mechanism, and a delivery mechanism is only as trustworthy as what it delivers. If the underlying work is not registered on an independently audited scheme - such as the Ventilation Hygiene Elite scheme run by BESCA, where cleans are logged and certificates issued through the scheme's own portal - then a scannable log is presentation without substance.

The sensible way to judge it, then, is to ignore the code entirely for a moment and interrogate the record. Does it carry real thickness readings and dated, labelled photographs? Does it name the scope and distinguish a full clean from a partial one? Can you download and keep the certificate, and does it sit on a scheme that would survive the contractor changing hands? If the answer is yes, the QR code is a welcome convenience laid over a solid foundation. If the answer is no, no amount of scanning will give it the legal weight a compliance certificate is supposed to carry.

Our own view is that the format is worth having, provided you treat it as a window rather than a warranty. The value was always in the verified clean and the durable, downloadable evidence behind it. A QR code simply makes that evidence quicker to reach - and quicker to reach is not nothing when the person asking for it is standing in your kitchen.
