A restaurant can serve brilliant food and still drop to one star, because the Food Hygiene Rating Scheme scores your ventilation and cleaning, not just your plates. Here is how it happens - and how a planned extract deep clean stops it.

A kitchen can serve well, look tidy at the pass and still walk out of an inspection with a single star on the door.
It happens more often than owners expect. The food is good, the front of house is spotless, the team is proud of the place - and then an environmental health officer opens the canopy, lifts a filter or asks to see the cleaning records for the extract system, and the rating collapses. The story usually is not about the plate in front of the guest. It is about the parts of the kitchen nobody sees between visits.
Under the Food Hygiene Rating Scheme, run by the Food Standards Agency across England, Wales and Northern Ireland, your rating is not a single impression. It is built from three separate areas: how hygienically food is handled; the structure and cleanliness of the premises, which includes cleaning, layout, lighting and ventilation; and confidence in management, which is how well you record and prove what you do. Each is scored, the scores are added into an intervention total, and that total is mapped to a rating from 5 down to 0.
The trap sits in that middle area. A greasy extract canopy, a filter caked solid, ductwork that has not been touched in a year - these all land in structure and cleanliness, and a single weak area can pull your whole rating down even when the rest of the kitchen is strong. So the real question is not whether your food is clean. It is which of two approaches you are running. Below are both, side by side.
This is the default in a busy operation. The team wipes down what they can see and reach at the end of service, and the deeper work - the canopy interior, the grease filters, the extract ductwork and fan - waits until something forces the issue. A bad smell, a slow-drawing hood, a dripping filter, or the inspection itself. Nothing is scheduled, so nothing is spent until it has to be.
On a normal trading day this feels perfectly fine. That is exactly why it is dangerous. Grease is deposited where you cannot see it, and it keeps building whether or not anyone is looking. If you have noticed the kitchen holding onto a stale, oily smell that gets worse under load, that is often the extract system telling you it is overdue - the same signal an inspector picks up the moment they walk in. The alternative is to put the hidden parts of the kitchen on a defined cycle and keep the paperwork that proves it. Extract cleaning here is done to TR19 Grease, the specification published by BESA, the Building Engineering Services Association, which is the benchmark environmental health officers, fire officers and insurers all recognise. The system is cleaned before grease reaches the point of concern, and each visit produces a before-and-after report and a certificate.
The frequency follows how hard the kitchen runs. As a guide, heavy use of twelve to sixteen hours a day points to roughly quarterly cleaning, moderate use of six to twelve hours to around every six months, and light use to about once a year. The point is that it is decided in advance, not discovered at inspection. It helps to see how little it takes. The rating is not a vibe - it is arithmetic, and the arithmetic is unforgiving about the areas people forget. Three figures explain most one-star surprises.
The mechanism is the cap. Your three area scores are added into a total, and that total suggests a rating - but the scheme also sets a maximum any single area is allowed to score for each rating band. Score too high in structure and cleanliness and the rating drops one band at a time until it fits, no matter how strong your food handling is. A kitchen that would otherwise sit at four or five can be pulled to one by ventilation alone. That is how a genuinely good restaurant ends up with a single star on the door: not because the food was unsafe, but because the part of the kitchen nobody was watching was never on a schedule.
Between the two options there is not much of a contest. Reactive cleaning saves a little now and risks the rating, the fire cover and the reputation later. A planned programme costs a predictable amount and removes the surprise entirely. The inspection stops being a threat and becomes a formality.

They want proof the work was actually done, not just an assurance.
