Temperature control: the records EHOs expect to see

An officer cannot watch your fridge all week, so what they judge instead is your records - and records are where good kitchens quietly lose marks they did not need to.

Keeping food at the right temperature is a legal duty. Being able to prove you did is a separate one, and it is the part that decides how an inspection goes. An environmental health officer cannot watch your fridge all week, so what they judge instead is your records - and records are where good kitchens quietly lose marks they did not need to lose.

Why records, not just temperatures

A hygiene inspection scores three things, and one of them is confidence in management: whether the officer believes safe practice will be maintained when they are not there. Temperature records are the clearest evidence of that. A consistent run of checks shows a kitchen that monitors itself and catches problems early; a thin or suspiciously perfect logbook does the opposite. The point of recording is not the paperwork for its own sake but the discipline it forces - you cannot log a fridge at nine degrees and do nothing, because the record demands a corrective action beside it.

The temperatures behind the records

The records only make sense against the numbers they are checking. Chilled food must be kept at 8C or below by law, though most kitchens work to 5C to leave a safety margin during busy service. Freezers should hold food at around minus 18C. Cooking and reheating should reach a core of 75C, or an equivalent combination such as 70C held for two minutes. Hot holding must stay at 63C or above. Cooked food that is being cooled should pass through the danger zone quickly, reaching 8C or below within around ninety minutes to two hours. The zone between 8C and 63C is where bacteria multiply fastest, so every temperature record is really tracking how much time food spends there. Deliveries get checked on arrival against these same thresholds, because the cold chain either holds from the supplier's van or it does not.

There are two service flexibilities worth recording carefully because they are easy to misuse. Food may be held for service below 63C for a single period of up to two hours, once only, after which it must be reheated, chilled quickly or discarded. Chilled food on display may sit above 8C for a single period of up to four hours before it must be used or thrown away. Both are one-time allowances, not standing permissions, so a kitchen using them should note the start time to prove the window was not exceeded. Defrosting is the other quiet risk: high-risk food should be thawed in the fridge or under cold running water, not left out at room temperature, and the practice you claim in your diary should be the one an officer would actually see.

The records themselves

A workable system covers a handful of routine checks and logs each one. Fridge and freezer temperatures, recorded at least daily and usually at the start and end of service. Delivery temperatures, checked and noted as goods arrive. Cooking and reheating core temperatures for high-risk items, probed and logged. Hot-holding temperatures across service. Cooling times and temperatures for anything cooked to be chilled. And probe calibration, checked regularly against iced water at zero and boiling water at one hundred, because an uncalibrated probe makes every other reading worthless. What catches people out

Inspectors have seen every shortcut, and the same few sink confidence every time. Records back-filled in one sitting the night before a visit, obvious from identical handwriting and ink. Copy-paste readings, the same figures repeated across weeks, which no real fridge ever produces. No calibration evidence, so the numbers cannot be trusted. Procedures that do not match reality, where the diary says cook to 75C but the kitchen works another way. And the most revealing gap of all - a reading outside the safe range with no corrective action recorded beside it, which tells an officer the checks are being written down but not acted on. The fix is not more paperwork; it is honest, contemporaneous records that show problems being caught and put right, because a log with the occasional out-of-range reading and a sensible corrective action reads as far more credible than a month of suspiciously perfect numbers.
