A refrigerant leak costs you three times over: lost efficiency, expensive scarce gas, and legal exposure. Here are the GB F-Gas duties in the terms that matter, and the measures that keep the gas in the pipes.
A refrigerant leak is unusual among kitchen problems in that it costs you three times over: the system runs harder and less efficiently, the lost gas is expensive and getting scarcer, and letting it escape can put you on the wrong side of the law. The F-Gas rules that govern all this are widely misunderstood - not least because they are measured in a unit most operators have never had to think about. Getting a grip on both the leaks and the rules protects the bill, the equipment and the business.
Refrigerant is the working fluid that moves heat out of your fridges and freezers. When it leaks, the system loses capacity and the compressor runs longer to hold temperature - the same efficiency penalty as a dirty coil, layered on top. Because refrigeration is one of the largest continuous loads in a kitchen, a slow leak quietly inflates the electricity bill for months before anyone notices the unit struggling. Then there is the gas itself: the UK's phase-down of high-warming-potential refrigerants is deliberately shrinking supply, so top-up gas for older systems is climbing in price and, for some refrigerants, heading towards genuine scarcity. A system that leaks is a system you keep paying to refill at ever-higher rates.
Great Britain runs its own F-Gas regime - a retained version of the EU 2014 regulation, brought in by the Fluorinated Greenhouse Gases Regulations 2015. If your premises has commercial refrigeration, air conditioning, chillers or heat pumps, you are an F-Gas operator, and outsourcing the maintenance does not transfer that legal status - the duties stay with you. The single number everything hangs on is the charge expressed as carbon-dioxide equivalent (CO2e), which is the refrigerant weight multiplied by its global warming potential. That is why a small kilogram charge can still be heavily regulated: R404A has a warming potential of nearly 4,000, so barely more than a kilo of it crosses the key threshold.
The core duties, once a system holds 5 tonnes CO2e or more, are: use F-Gas certified engineers for all work, check for leaks at a frequency set by the CO2e charge, keep records for at least five years, and repair any leak promptly - then re-check within a month. Leak-check frequency steps up with size: at least every 12 months from 5 tonnes CO2e, every 6 months from 50, and every 3 months from 500, with the interval doubled where fixed automatic leak detection is fitted. Getting the classification right depends on knowing exactly what refrigerant and charge sits in each system, which is the first thing an audit should nail down.

Fixing the fault once is cheaper than paying for lost gas indefinitely.
