A low price on a fryer, a canopy or a combi oven feels like a win on the day the invoice lands - but the sticker is only the first payment you make on that machine.

Every piece of catering equipment carries a second price tag that nobody prints: the energy it draws, the parts it eats, the downtime it causes and the risk it quietly loads onto your kitchen. Over a working lifetime, that hidden figure routinely dwarfs the difference you saved at purchase. Choose well and the gap disappears into years of quiet, efficient service. Choose on headline price alone and the cheap unit has a habit of becoming the most expensive thing in the room.

This is not an argument for spending money for its own sake. It is an argument for counting properly - because when you add up what a machine really costs to own, the ranking of your options often flips completely.

Total cost of ownership, not the price on the box

The professional way to compare two machines is total cost of ownership: the purchase price plus everything the unit will cost you across its life, divided by the years you actually get out of it. Four numbers drive that calculation - what it draws in energy, how often it needs parts and attention, whether spares are still available in year six, and how long it survives before it has to be replaced.

Start with lifespan, because it quietly rewrites everything else. Quality commercial equipment, properly maintained, commonly runs for fifteen to twenty years. Budget alternatives often manage five to seven before a compressor, control board or heat exchanger gives up for good. If a cheaper unit lasts a third as long, you buy it three times over the same period - three deliveries, three installations, three sets of teething problems - and the saving you were so pleased with has been spent several times before you notice.

Energy is the second, relentless drain. UK business electricity sat around 25.7p to 27.5p per kWh in early 2025, with standing charges of anywhere from roughly 40p to well over £1 a day, and business gas near 9p per kWh. Energy already accounts for something like four to six per cent of a catering operation's running costs, and cheap kit is engineered down to hit a price - thinner insulation, undersized compressors, cruder controls - so it simply draws more to do the same job. Modern efficient equipment can use thirty to fifty per cent less than a low-spec equivalent. A cheap display fridge with poor thermal retention forces its compressor to run almost constantly; in a busy kitchen where ambient temperatures push past 30°C, a near-domestic unit can suffer compressor failure inside its first year.

Where cheap kit quietly bleeds you

The savings from choosing better are not abstract. Switching to efficient refrigeration can cut £150 to £300 a year, moving from gas to induction hobs £300 to £500, and a better dishwasher £250 to £400 - real money that a budget purchase forfeits every single year it stays plugged in. Set that against the daily appetite of a working kitchen, where a single pub-restaurant study logged around 70 kWh a day on refrigeration, 37 on grills and 35 on combination ovens, and you can see how a poorly built machine turns your energy bill into a slow, permanent leak. The same logic runs right through the menu; it is exactly why fryers cost more to run than most operators budget for, and why the cheapest fryer on the market is rarely the cheapest to own.

Then there is the cost that never appears on a spreadsheet until it is too late. Cheap extraction is the classic false economy. An underpowered canopy or a badly specified duct run does not pull grease-laden air away efficiently, so more of that grease condenses inside the system and more of it hangs in the air your staff breathe all shift. Poor capture means a hotter, greasier, more uncomfortable kitchen, and over time the health consequences of that environment are precisely what sits behind a rising occupational health claim. What looked like a saving on the ventilation quote can end up costing far more in people, comfort and liability.

Grease build-up carries a harder edge still. It is highly flammable, and once it coats the inside of a canopy, filters and ductwork it becomes a ready fuel path that can carry fire the length of a duct run in moments. Cheap systems that capture badly and clean awkwardly load that risk faster, which is why the specification of your extraction is never just a catering decision - it is a fire safety one.

Buying to last, and cleaning to keep it

Better equipment only pays back if it is looked after, and that is where standards do the arguing for you. UK commercial kitchen ventilation is designed against DW172 - not a law, but the recognised industry benchmark that environmental health officers, consultants and insurers lean on when they judge whether a system is fit for purpose. Extraction hygiene is measured against TR19 Grease, which sets minimum cleaning frequencies by how hard the kitchen works: roughly every three months for heavy use of twelve to sixteen hours a day, every six months for moderate use, and every twelve months for light use.

That maintenance is not box-ticking. Insurance assessors increasingly ask for documented cleaning records, and a missing or non-compliant log can see a claim reduced or refused outright - so paying a cut-price contractor who cannot certify the work to standard can leave you effectively uninsured despite having paid for cleaning. Good equipment, cleaned to a recognised specification and properly certificated, protects the investment, the people and the cover all at once. Cheap kit, cleaned cheaply, quietly undoes all three.

So before you sign on headline price, do the full sum. Divide the real lifetime cost - purchase, energy, parts, downtime, risk - by the years you will genuinely get, and compare the machines on that number instead. More often than not the "expensive" option is the one that costs you less. Cheap equipment is rarely cheap; it just spreads the bill out where you are not looking.
