The detail
A thorough examination goes as well as the site lets it. The examiner needs to measure airflow and capture at every hood, inspect ductwork, filters and fans, and compare it all against the commissioning baseline - and each of those depends on things the site controls. A little preparation before the day turns a potentially slow, stop-start visit into an efficient one, which is faster, less disruptive and often cheaper.
Access is the first thing to sort. Every hood, test point, filter housing and accessible run of ductwork should be reachable - not blocked by stock, parked plant or locked doors, and with any height access arranged in advance. An examiner who cannot get to a hood cannot test it, and time lost clearing a path or hunting for a key is time on the visit that need not have been spent.
The system should be running under normal working conditions. The examination measures how the LEV performs in use, so it needs to be switched on, warmed up and operating as it does on an ordinary day, with the processes it serves in their usual state. A system found switched off, or running in some special 'inspection' mode, cannot be assessed for how it actually protects people at work.
The paperwork should be ready before the examiner arrives. The commissioning data is the baseline the whole test is judged against, so having it to hand - along with the logbook, previous examination reports and a note of any faults staff already know about - lets the examiner work efficiently and produce a report that builds on the system's history rather than starting from a blank sheet.

The examiner spends their time measuring and assessing rather than waiting for access or searching for records, the visit is shorter, and the resulting report is richer because it is set against the commissioning data and the system's documented history. Preparation converts a compliance obligation into a genuinely useful health check.

Flagging faults you already know about, having interim repairs done beforehand, and making sure the system is in its normal working state means the examination reflects how the LEV really performs, not how it happens to look when half-set-up. Surprises on the day tend to generate remedial actions and retests that a little preparation would have pre-empted.
None of this is onerous - it is mostly clearing access, running the system normally, and gathering the records that should exist anyway. Booked ahead so the timing suits a quieter period, and prepared this way, examination day becomes a smooth, brief, informative event rather than a disruptive scramble, and the report it produces is one you can actually act on.
