How to Investigate a Persistent Odour in a Building

Air fresheners never fix it because the smell is rarely coming from where you notice it. A method for tracing odours to their source.

A persistent smell in a building is one of the most frustrating problems a facilities manager deals with, because it is real, occupants keep reporting it, and yet air fresheners and open windows never fix it. The reason is almost always that the smell is being treated where it is noticed rather than where it comes from, and the two are rarely the same place.

Source and transport are different things

The single most useful idea in odour investigation is to separate the source of a smell from the path that carries it. Ventilation systems move large volumes of air around a building under pressure, and a smell generated in a plant room, a drain or a damp void can be picked up by the airflow and delivered to a room on the far side of the building. That is why a complaint about a smell in the meeting room may have nothing to do with the meeting room at all. Masking the smell where it is reported achieves nothing, because the source keeps producing it and the air keeps carrying it. The job is to work backwards along the air path to whatever is actually generating it, and that calls for method rather than guesswork.

The common sources, in order

Most building odours come from a short list of causes, and knowing the list shortens the search. Drainage is near the top: a dry or siphoned trap loses its water seal and lets sewer gas straight into the room, and a condensate trap on an air handling unit that has dried out can do the same, feeding sewer gas directly into the supply air. Standing water anywhere, in a drain, a drip tray or a blocked condensate line, quickly turns stale and biological. Damp then breeds mould, and mould in ductwork or on cooling coils produces the classic musty smell that spreads wherever that duct run reaches.

The ventilation system itself is often the transport mechanism and sometimes the source. Dirty cooling coils, loaded filters and dust laden ductwork all harbour microbial growth, and a torn return duct running through a damp void will quietly draw contaminated air, mould spores and worse straight past the filter and into circulation. Grease laden kitchen extract carries its own heavy, stale odour. And a small number of smells are genuinely dangerous rather than merely unpleasant: the sulphur odorant added to natural gas, or the acrid smell of overheating electrics, are signals to stop investigating and call the appropriate emergency response rather than chase the source yourself.

A useful diagnostic is to watch how the smell behaves with the ventilation. If it is strongest when the fans run but the cooling is off, the source is likely in the return air path or the ductwork rather than at the coil. If it comes and goes with the seasons or with a switch between heating and cooling, that points at moisture and microbial growth being reactivated. Pattern is evidence, and paying attention to when and where the smell appears narrows the field before anyone lifts an access panel.

The reliable approach is systematic elimination rather than spraying disinfectant and hoping. Start at the point of complaint, note the conditions under which the smell appears, then work outward along the air and drainage paths: check and refill traps, inspect condensate lines and drip trays, open up and examine the nearest ductwork, coils and filters, and look for damp, standing water and biological growth at each step. In many buildings the culprit turns out to be inside the system itself, where accumulated grease, dust and moisture have gone microbial, and the fix is a proper clean rather than a repair. That is frequently the case where a smell traces back to contamination that deep cleaning stops mould at source resolves, because removing the growth removes the smell instead of covering it.

Fix the cause, not the symptom

An odour investigation is only finished when the source is removed, not when the smell is temporarily gone. If the cause was a dry trap, keeping it topped up or fitting a trap seal closes it out; if it was fouled ductwork or coils, cleaning them does; and if it was drainage, the grease and waste feeding it need managing rather than just clearing, which is why persistent kitchen related smells so often lead back to how a grease trap is managed. The discipline that solves these cases is the same one that prevents them: keep drainage traps sealed, keep the ventilation clean and on schedule, deal with damp before it turns biological, and the building stops generating the smells that no amount of air freshener will ever fix.
